Microsoft is reshaping its consumer and productivity AI strategy with a major update to its Copilot application, merging personal chat histories and generated content while discontinuing several prominent capabilities.
The changes affect consumer users of Copilot and coincide with the broader transition of the Microsoft 365 (Office) app into the Microsoft 365 Copilot app.
The branding migration began rolling out on January 15, 2025, and the renamed application is now available across Windows, iOS, Android, and web platforms. As part of the change, Microsoft has redirected office.com and microsoft365.com users to the m365.cloud.microsoft domain.
Microsoft Copilot App Overhaul Merges Personal Chats
Microsoft said the redesigned Copilot environment is intended to offer a unified experience spanning personal, work, and school accounts. Users can sign in with a personal Microsoft account, an organizational account, or both, while an account-switching interface separates the different contexts.
For individuals who use both the standalone Microsoft Copilot application and the Microsoft 365 Copilot app with a personal account, Microsoft will merge Copilot conversations, images, and other AI-generated material into the updated app.
The consolidation aims to reduce fragmentation between Microsoft’s consumer AI services and its productivity-focused ecosystem. Microsoft emphasized that the merger does not remove the separation between personal and enterprise data.
Work and school accounts authenticated through Microsoft Entra will continue to operate under organizational privacy, security, compliance, and administrative controls.
Information submitted through a work account will not transfer into a personal Copilot account, while personal content will not become visible within an organization’s Copilot environment.
The updated app also expands access to Microsoft 365 services, including Word, Excel, Outlook, cloud storage, files, and other productivity resources.
This integration allows users to move from conversational prompts to document editing, data analysis, email, and file-management tasks without repeatedly switching between separate applications.
However, the transition also introduces several feature retirements beginning August 18, 2026. Microsoft will discontinue Group Chat, migrating existing group discussions into individual one-to-one Copilot conversations.
Historical group chat messages, user-created artifacts, and related content will remain visible after migration, but users will no longer be able to continue those discussions as collaborative group chats.
A key limitation affects content posted by other participants. Prompts, images, and artifacts contributed by collaborators will no longer be accessible after the transition.
Organizations and users relying on shared Copilot-generated media should therefore export important material before the retirement date. Microsoft is also ending Podcasts within Copilot. After August 18, users will not be able to create new podcasts or access existing podcast content through the service.
The company has advised customers to download individual podcast files from their Copilot libraries before the capability is removed. Deep Research, Copilot’s consumer-oriented feature for producing detailed reports and analyses, is also scheduled for retirement.
While previously generated research content may remain available under Microsoft’s migration guidance, users who depend on AI-created reports should review, preserve, and export relevant material before access policies change.
From a security and governance perspective, one of the most important changes is the move of standalone Copilot files to OneDrive. Centralizing these files can simplify management, recovery, and access across Microsoft services, but it also makes permission reviews increasingly important.
Users should examine OneDrive sharing settings, external-access controls, retention configurations, and account security protections.
For enterprise environments, administrators should ensure that Microsoft Entra controls, conditional access rules, audit logging, data-loss prevention policies, and cloud storage governance remain aligned with the new Copilot workflow.
Microsoft said most of the update process will occur automatically. Web users will be redirected to the new Copilot interface, while mobile users may receive an automatic application update or need to install the latest version manually.
Free Copilot features, including chat, image generation, and file uploads, will remain available under capacity restrictions, while Microsoft 365 subscribers receive higher limits, advanced AI capabilities, agent functions, and support for more complex multi-step tasks.
